Roles
Word processors are used to create, store, display, and print text documents. Spreadsheets on the other hand are used to store, manipulate, and analyze data. The data within can then have a variety of functions performed on it to calculate, sort, or search it. It can also be used to generate a variety of charts and graphs. Presentation software such as PowerPoint or Prezi, on the other hand, are used to display information in the form of a slideshow. They allow for text, images, videos and animations, audio, and even charts or graphs to be displayed. Often times there is also support for animated transitions to make the display of data more attention grabbing. Databases are similar to spreadsheets in the fact that they contain tables, but they are used in a more complex manner. They allow for user access control and data integrity. Highly complex logic and languages are used for creation and manipulation of data within databases. These languages are called Structured Query Languages (or SQL).
Pros and Cons
Word processors excel at creating text documents to print out or send to convey simple information. However, they are not ideal for anything involving storage, calculation, or display of more complex data and do not work well for presentations at all. Spreadsheets and databases on the other hand are ideal for storing, calculating, and managing more complex data but not good for presentations or as text documents. Spreadsheets are inferior to databases when it comes to large datasets, data relations, or user access control. Databases on the other hand are inferior to spreadsheets for ease of use and simple data usage. Finally, presentation software is ideal for giving a presentation to an audience, especially if it contains audio or video. However, they can’t be used for data storage and manipulation and don’t make for good text documents.
Use Cases
A word processor would be ideal for simple documentation of one’s day. It also can be useful for making simple fliers to place around a location or producing technical documents. A spreadsheet however is more ideal for graphing percentage of time one spent out of their day on specific tasks. A presentation software would then be good for presenting this in a meeting or presenting data and statistics about product sales or average returns on investment. A database would be useful for storing customer records, products, sales, and other such related data as well as mapping the relationship between said data.
